Most people focus on “Will it connect?” and completely miss the media question. Thermal printers work one of two ways:

  • Direct thermal — the label material darkens when heated. No ribbon is needed. This is common for short-life shipping labels.
  • Thermal transfer — a ribbon transfers wax or resin onto the label. This is for labels that need to survive heat, chemicals, or handling.

If you load thermal transfer labels and forget the ribbon, you will print blank labels. If you use a ribbon with direct thermal media, results are messy. I should add: match the ribbon width to the label width. A ribbon a few millimeters wider is safer than one that is too narrow.

Checkpoint: Label packaging says direct thermal or thermal transfer. If it says thermal transfer, the ribbon is installed correctly and covers the full label width.

Step 3: Install the Zebra Printer Driver from the Model's Page

This is the step behind most “install zebra printer driver” searches. If you use Windows' generic driver, the printer may print simple text, but it won't expose the controls for darkness, speed, or media calibration. Go to the official Zebra support site, search for the model number, and download the driver for your operating system.

Step 5: Calibrate the Media Sensor (The Step Everyone Skips)

A printer without calibration is guessing where one label ends and the next begins. You'll print fine for a few labels, then text will start crossing the gap. The exact key combo might differ between models, so check the manual—or rather, use the calibration function in the driver and save the settings to the printer.

Checkpoint: Press Feed three times. Every time, the printer stops at the same spot between labels, not halfway through one.

Step 6: Adjust Print Quality Before You Trust It

Quality is not a luxury. A barcode that won't scan at the customer's receiving dock is a brand problem, not a printer problem.

Start at 4 inches per second and a darkness setting in the middle of the manual's range. Print a test label. If the barcode has thin lines or won't scan, lower the speed. If the label looks gray or smeared, lower the darkness.

This is also where I ask clients to spend a little more on good media. The $2 saved on a thin label stock shows up as curled corners and faded barcodes. You don't need the most expensive label on the shelf—but customer-facing labels are not where I save money.

Step 7: Finish With a Low-Maintenance Routine

After the labels look right, do the stuff that prevents next week's call:

  • Clean the printhead with a Zebra-approved cleaning pen.

  • Show the daily user how to run a label feed and what to do when the printer beeps.
  • Write down the label stock part number and ribbon part number, if used. That removes guesswork on reorder day.

Generic Driver as a Workaround

Ribbon Side and Width

Thermal transfer ribbon has a coated, ink side and a non-coated side. If the ink side isn't facing the label, you get nothing. And if the ribbon is narrower than the label, your printhead is exposed to dirt and label debris. Check the printer's ribbon path diagram; the ribbon should cover the full label width.

Using Cheap Media on a Critical Job

I'm all for testing budget label stock in a low-risk setup. But on a customer-facing order, the label matters. A smudged barcode from a low-quality label makes the whole delivery look sloppy. Save the budget labels for internal shelf tags and workshop signs.

Check Mailing Label Dimensions

According to USPS (usps.com), as of January 2025, a First-Class Mail letter can be up to 6.125″ × 11.5″. If you're printing address labels with a Zebra printer, keep the address and barcode well inside the printable area and avoid label edges that wrap over the side.

That's the kind of detail customers notice. It's also the kind of detail that keeps your mail from getting a non-machinable surcharge.

There's something satisfying about a correctly calibrated Zebra printer.
